Short-Term PhD Mobility Procedure

Short-term PhD mobilities are available for doctoral candidates who wish to conduct research at Sofia University “St. Kliment Ohridski” for a period shorter than a full semester.

1. Nomination

The sending institution should nominate the PhD candidate only if there is an active Inter-Institutional Agreement (IIA) between the two universities under Erasmus+ KA131 in the same field of study.

To submit a nomination, please contact the Incoming Erasmus team at incoming.erasmus@admin.uni-sofia.bg.

2. Application

After the Incoming Team confirms the nomination, the PhD candidate must submit an application including:

  • Details about their PhD programme and thesis topic;
  • Information about their research team and supervisor;
  • A brief research plan and objectives for the mobility;
  • Transcript of records;
  • Proposed period and duration of stay.

All documents should be sent to incoming.erasmus@admin.uni-sofia.bg.

If the application is complete and all documents are correct, the Incoming Erasmus team will send an official application form, which the candidate must fill in and use to upload the required documents.

3. Faculty Review and Matching

Based on the submitted information, the Incoming Erasmus team at the International Relations Office will contact the relevant faculty at Sofia University to verify whether a suitable research adviser can be assigned.

Important: If the relevant faculty is unable to assign a suitable research adviser for the proposed period, the mobility may be rejected.

4. Confirmation and Contact

If the faculty confirms availability and accepts the candidate, a scientific adviser from Sofia University will be appointed. The candidate and the adviser will then be put in direct contact.

5. Administrative Notes

Please note that, due to administrative limitations, short-term PhD mobility participants do not have access to most student benefits available to full-semester exchange students (such as student cards, accommodation, access to internal university platforms, or student discounts).

Nomination and Research Periods

  • Nomination period: no less than 3 months before the proposed mobility period
  • Eligible research period: October – June
  • Duration of mobility: from 5 to 30 days

6. Mobility report
The student can receive a written report for the mobility from the research adviser.
